Position Summary:
Provide essential administrative support to the hospice office and clinical team, enabling staff to focus more time on direct patient care. This behind-the-scenes role is crucial to the smooth operation of our hospice services and enhances our ability to serve patients and families effectively.
Key Responsibilities:
- Assist with filing, photocopying, and organizing patient and administrative documents
- Perform data entry into electronic systems with attention to accuracy and confidentiality
- Answer phone calls, take messages, and direct calls appropriately
- Prepare and assemble welcome packets for new patients and families
- Assist with mailings, including bereavement correspondence and newsletters
- Help maintain office organization and supply inventory
- Support special projects such as event preparation or fundraising campaigns
- Provide computer-based support as skills allow (spreadsheets, document preparation)
Time Commitment:
- Minimum: 3 months
- Hours per week: 2-8 hours (flexible scheduling available)
- Schedule: Weekdays between 9:00 AM – 5:00 PM; some remote work may be possible
Location:
- Primarily at Melodia Care office location
- Potential for some remote/at-home tasks (data entry, document preparation)
Qualifications & Requirements:
- Minimum age: 16 years (with parental consent if under 18)
- Completion of 8-hour administrative volunteer training (core confidentiality portion)
- Clear criminal background check (for volunteers 18+)
- Basic computer skills (Microsoft Office, Google Workspace, email)
- Strong organizational skills and attention to detail
- Professional phone manner and communication skills
- Ability to maintain confidentiality with sensitive information
